This privacy policy (the "Policy") explains how Consultants Crac Inc., operator of the CynQ management solution ("CynQ," "we," "us," "our"), collects, uses, stores, and protects personal information in connection with the use of its cloud-based online platform (the "Service" or "Platform").
We attach great importance to the confidentiality of our customers' data—mainly construction companies—as well as the users to whom these companies grant access (employees, foremen, subcontractors, etc.). By accessing CynQ, creating an account, or using our Service, you agree to this Policy.
1. Who does this policy apply to?
The Policy applies:
1. Customers (companies) who subscribe to CynQ;
2. Authorized users (employees, contractors, collaborators) to whom the customer grants access;
3. People who visit our website or write to us.
Very important: in CynQ, it is the customer (your company) who creates users and determines their roles and access. The customer therefore remains responsible for obtaining the necessary consent from its employees or subcontractors and for applying its own internal rules.
2. Useful definitions
Personal information: any information that directly or indirectly identifies a person (name, email address, phone number, photo of a work site associated with an employee, etc.).
Client: company that subscribes to CynQ.
Authorized user: a person to whom the customer grants access to the platform.
Administrator: user designated by the customer to manage access, projects, and billing.
Platform/Service: the CynQ application, hosted in the cloud, accessible via browser or mobile device.
3. Information we collect
We only collect information that is necessary to provide and operate CynQ.
Depending on the case, this may involve:
- Identification information: last name, first name, email address, phone number;
- Account information: role, company, language, permissions;
- Billing information (for the customer only): responsible person, billing details; payments are generally processed via a compliant third-party provider (e.g., Stripe);
- Project-related content: documents, photos, plans, estimates, tasks, comments—this is the client's data.
- Technical data: IP address, device type, access logs, cookies to secure the session and improve the service.
When this data is entered by the customer or its administrators (for example, when adding an employee), we consider that the customer has the right to do so.
4. Why we collect this information
We use personal information only for:
- Providing the Service: creating accounts, authenticating users, displaying projects, enabling document sharing.
- Ensuring security and smooth operation: role-based access management, prevention of fraudulent use, logging.
- Offering support: responding to your requests, assisting you during the start-up phase.
- Improving CynQ: understanding how the platform is used to add or adjust features.
- Communicating with you: service notices, updates, changes to terms and conditions. You can unsubscribe from marketing communications.
We do not sell your personal information.
5. Consent
By using CynQ, you consent to our use of your personal information in accordance with this Policy.
When information is entered by the client on behalf of its employees or subcontractors, we assume that the client has obtained the required consent and that it complies with its own obligations regarding the protection of personal information.
6. Roles and access
CynQ operates with a role-based system.
Your administrators decide who sees what.
An employee or subcontractor only has access to information that the customer has made visible to them.
We do not make your data public.
7. Hosting and security
CynQ is hosted in a secure cloud infrastructure.
Data is encrypted in transit (HTTPS/SSL) and encrypted or protected at rest.
Administrative access to the system is limited to authorized members of the CynQ team for support, maintenance, or security purposes.
Even though we implement measures in line with industry practices, no transmission over the Internet is 100% risk-free.
However, we take reasonable measures to protect your data.
8. Sharing your information
We may share certain information only in these cases:
- Service providers (e.g., hosting, payment processing, email delivery): they only have access to the minimum necessary and must protect the data.
- Legal requirement: If a competent authority requires us to disclose information, we will only provide what is required.
- Business evolution or transfer: if CynQ is sold or merged, data may be transferred to the new owners, with the same level of protection.
We do not share your data with third parties for marketing purposes.
9. Where is the data stored?
Data is hosted in the cloud in Canada or in a region offering an equivalent level of protection. If a transfer must be made outside of Canada, we ensure that adequate protective measures are in place.
10. Shelf life
We retain personal information for as long as necessary to:
- Provide you with the service;
- Comply with our legal obligations;
- Resolve a dispute or protect our rights.
When a customer terminates their subscription, we may retain certain information for a reasonable period of time (e.g., backups, security logs), and then delete or anonymize it.
11. Your rights
Under applicable laws (e.g., Quebec, Canada), you may:
- Request access to your personal information;
- Request their correction if they are inaccurate;
- In certain cases, request their deletion.
If you are an employee or contractor of a CynQ client, you must first address these requests to your employer (the client), as they are primarily responsible for the data you have entered into the tool. We will collaborate with them as necessary.
12. Cookies
Our website and platform may use cookies to:
- Keep your session open;
- Improve the user experience;
- Obtain usage statistics.
You can disable them in your browser, but some features may no longer work properly.
13. Platform updates
CynQ is constantly evolving. Some updates may require one-time data processing (e.g., migration, performance improvement). These updates are performed securely and are not intended to use your data for any purpose other than the operation of the service.
14. Links to third-party services
If you connect CynQ to other services (e.g., Microsoft solutions, document storage), the data exchanged is subject to the terms and conditions of those third-party services. We encourage you to read their privacy policies.
15. Changes to this policy
We may update this Policy from time to time to reflect changes in CynQ or the law. The updated version will be published in the application or on our website. By continuing to use CynQ, you agree to the amended version.
